Warm outreach: start with the people who already know you
Warm outreach is writing to people you already have a real relationship with, such as past customers, old colleagues, or someone you met once and traded emails with. Innmail's Warm Contacts finds those people in your own mailbox and helps you write a catch-up email that sounds like you.
Start free with your own mailboxWhat makes a contact warm
A warm contact is someone who has replied to you before. Not a newsletter, not a cold prospect, but a person with whom you had an actual two-way exchange. They know your name, and a note from you is a continuation, not an interruption.
Most people have dozens of these relationships sitting in their mailbox, untouched because nobody had a reason to write first.
How Warm Contacts finds them
When you click Scan, Innmail reads message headers only: who, when and subject, never the bodies. It lists people you had a real two-way exchange with who have gone quiet for about six months.
The list is not stored. It exists for that session so you can pick who to write to, and nothing about your mailbox history is kept afterward.
Writing a warm outreach email in your voice
Innmail can learn your writing style from a small sample of your sent emails, then draft a catch-up for a contact in that voice. Treat the draft as a starting point: add the one detail only you know, like the project you worked on together, and cut anything that sounds like a pitch.
A good warm email is short, mentions the shared context, says honestly why you are writing now, and makes any ask easy to decline.
From a few notes to a small campaign
For a handful of people, send each catch-up directly. For more, put them in a campaign with a column for shared context and keep the review queue on, so you approve each email individually. One gentle follow-up in the same thread is usually plenty for someone who knows you.
Frequently asked questions
Does Innmail read my emails to find warm contacts?
No. The Warm Contacts scan reads headers only, meaning sender, recipient, date and subject, never message bodies. If you use voice learning, that separately reads a small sample of your sent emails to learn your style.
Is the warm contacts list saved anywhere?
No. The list is built when you click Scan and is not stored.
Who counts as a warm contact?
Someone you had a genuine two-way exchange with, where both of you wrote, who has been quiet for about six months.
How is warm outreach different from cold email?
Warm outreach goes to people who already know you, so the email continues a relationship. Cold email goes to strangers and has to earn attention from nothing.
